How do I import data into Excel?

Use the Import menu item to import a text or HTML file that has just enough cells to show the data.

In Excel for Mac 2023 you can also create an Excel list from a text or HTML file.

Click File > Import. Click Import from Text File, and browse to the file that contains the data. Select the columns to import as shown. Do not include any additional blank columns.

If any cells have non-ASCII characters, you may select these cells. Then, in the File Import Options dialog, choose the Unicode (UTF-8) radio button, and then enter the code page number for your computer.

Click OK. You can now work with the imported data. Your work will include whatever was done to each cell before saving and closing the spreadsheet. You cannot undo this operation. Instead, you must import another file if you want to start over.

The same thing would happen if data had newline characters. However, if the first cell had a number in it, Excel 2023 recognizes that this represents a currency value, and interprets all the numbers in the column as numbers. Other data conversions are available, depending on the source data.

Importing from other databases. You can import a variety of different databases, such as dBase, Oracle, Access, or SQL Server files. For example, a dBase-formatted file has a lot of information, including names and addresses. It is usually a better option to import a SQL server table that includes an "id" column, a "name" column, and multiple columns that contain different kinds of information. This approach keeps the database relationships intact.
