What does the SharePoint app do?

This question has been bothering me for some time now.

We build apps as a group of us and were always asking ourselves why the app is not a "dynamic" app, that means it should be visible to the user when he/she types in the search the web site of the site collection. I tried and tried but can't really get my head around it.

I've read that sharepoint apps have a problem with "search visibility" . I've read about it here () but I am really getting a very hard time to see what it could mean! Does someone have an example of a "dynamic" app? Is it possible to "enable" an app on a site collection? And how to create one? @sachith I have never understood this behavior. Is there something I don't understand or would you call that a bug in SharePoint 2010? I'm guessing the answer is "yes". My guess is that "dynamic" would be a word describing an attribute, so it is just part of the model which you can use to make your app (which is different from the app model) dynamic - thus the App Model is not the only way to make your app dynamic. At least that's my guess.

I have made a number of these apps over the years. If you know of a method to make an app searchable, please let me know. I would love to hear more info on how to do this :)

But when I try to publish to central administration, the message below shows up: "Unable to update the app definition or metadata. The list app definition is read only. To fix this issue, you need to set the permissions on this list to allow modifications. After publishing, you'll need to reset the permissions. Please go back to the site settings page, then click the 'Refresh permissions' link under permissions. This will allow editing to take place."

It's a list or document library which has the read only issue, nothing else has been changed since it was installed/configured. Is there a fix in the product, or am I missing something in the process?

Is SharePoint the same as OneDrive?

There is much confusion around the two and some people have no idea what they are talking about.

I've just written a blog on why Microsoft's own cloud technology, OneDrive, will never become a competitor to Office 365 - but you could read it here.

The short version is that SharePoint and OneDrive are not the same and OneDrive isn't like Office 365. It's a different service for different things. However if you use SharePoint, you can sync your files between OneDrive and SharePoint using the OneDrive for Business tool in the SharePoint admin center.

The problem is that SharePoint itself isn't really the right way to go. You need to build your own custom apps and services on top of SharePoint to make it do anything useful. But there are some problems with the out-of-the-box solution.

Firstly, one big advantage of OneDrive over SharePoint is that Office doesn't care that you have both. Your documents are automatically available everywhere in the world, so you can work in Office 365 without worrying about compatibility issues. That's a killer feature.

Microsoft has made sure that SharePoint isn't compatible with OneDrive by blocking it. However, there are ways around this: Create a free trial account at Office 365 (or Office365trial) and run your own instance of SharePoint and OneDrive side by side. Use the File Server Migration tool to copy all your data into a new cloud instance. Use the SharePoint Online Migration tool to move data from your existing server into a cloud environment. Use the OneDrive for Business Migration tool to get data out of SharePoint and into OneDrive. These options are all a lot more complex than I'd prefer. But they are certainly possible and the pros far outweigh the cons. There is nothing to stop you from doing this yourself without having to pay an Office 365 subscription, even though the whole thing is available free from the Office 365 store.

As well as OneDrive for Business (which will be the future for all companies), there are also free options for personal accounts in Office 365. These include OneDrive, SkyDrive, and your own PC. But again, these are very different to the OneDrive for Business solution, which I'll talk about below.

Is SharePoint for free?

This question is about the licensing model for SharePoint.

Are there any limitations on the number of users allowed to use the free version (without a pay-as-you-go option), or the amount of space used, for instance? If not, is it possible to create sites using the free version that are accessible to all users? If I purchase a SharePoint license, can I then use the SharePoint site without any restrictions at all, like a website with standard web hosting? SharePoint for free. There are two licenses available for SharePoint Server, Basic and Standard: Standard and Standard Enterprise have one product number, ie it will be the same codebase. Standard and Enterprise have different licensing terms and pricing. In essence: Standard, as mentioned in your post, allows 1 (one) Standard user and 500 (five hundred) Windows Server machines per domain name. All this for free.

Standard Enterprise includes everything for up to 50 (fifty) Standard licenses, and allows up to 2026 Windows Server machines per domain name. You may want to read some basic documentation about this on Microsoft's website and try it out, you can find it here. One issue with SharePoint Basic/Standard and their licensing - as you correctly said - is that it does not allow to create sites using this license. You have to create custom solutions to do this, but it is possible and not that hard.

How much space does SharePoint Free take up? This depends heavily on what features you use. SharePoint 2026 Server allows sites to be created in up to 15 GBs, so obviously the smaller sites would take up less space. I also read from MSDN (source 1, source 2) that the files are compressed and could use 4-8% less disk space than they normally do. So, I think in your average business, say 10 GBs, most pages with 10 MBs of text, graphics, movies and a site navigation might be about 20-30 GBs, which gives around 2 million pages per user. Of course, if you have lots of users/pages it will need more disk space.

Is there really no limit on how many users can use SharePoint for free? As already mentioned, you should try SharePoint for yourself and check it out.
